PA Executive Committees

Duties of the President. 
The President shall be the chief executive officer of the Association and is responsible for the overall operation and functioning of the Association.  The President shall have the duties normally pertaining to the office of President in addition to those specifically enumerated in these Bylaws.  The President shall preside over all meetings of the Association or the Executive Board and preside over all elections.  The President shall insure proper communication between the Association and other Parish leaders and organizations.

Duties of the Secretary. 
The Secretary shall be responsible to record minutes of all Association and Executive Board meetings and any other matters which shall be ordered recorded by the Association of the Executive Board.  The Secretary shall be in charge of all correspondence of the Association and shall notify members of meetings as required by these Bylaws.

Duties of the Treasurer. 
The Treasurer shall be responsible for the administration of all finances of the Association.  This shall include the receipt, recording, reporting, and distribution of funds.  All Association funds shall be deposited in a bank designated by the Executive Board in the name of the Association.  The Treasurer is responsible for all Association bank accounts and will prepare and present at each regular meeting a financial report of the condition of the Association’s finances including each month’s beginning and ending bank balance and each item of receipt or payment.  The Treasurer’s books shall be open to reasonable inspection by the Executive Board.  At the conclusion of his/her term of office, the Treasurer shall submit a written report and render an account of all monies received and expended during the fiscal year.

Duties of the Historian. 
The Historian shall maintain records of all bylaws, policies, and motions currently in effect to facilitate the orderly transaction of business and to assist in a smooth transition from year to year.  Upon conclusion of the Historian’s term of office he/she shall transfer all records to his/her successor.  All records of the Historian shall be open to inspection and copying by all members of the Association upon reasonable request.  The Historian shall assume the responsibilities of the President when necessary in the event of the President’s absence or incapacity or when requested to do so on a temporary basis by the President.

Duties of the School Committee Representative. 
The School Committee Representative shall be the Association’s liaison with School Committee.  The School Committee Representative shall attend each School Committee meeting, report to the School Committee the activities of the Association, and report the activities of the School Committee at each regular meeting of the Association.

Duties of the Education Commission Representative.
The Education Commission Representative shall be the Association’s liaison with the Education Commission.  The Education Commission Representative shall attend each Education Commission meeting, report to the Education Commission the activities of the Association, and report the activities of the Education Commission at each regular meeting of the Association.

General Duties of the Vice Presidents. 
Each Vice President may appoint in accordance with Article 10 one or more committees to assist in the discharge of the duties assigned to each Vice President.  Each Vice President shall prepare and submit to the President a proposed budget for his/her area of responsibility by August 1.  Each Vice President shall report either personally or through his/her committee chairpersons regarding the activities of his/her area of responsibility at each regular meeting of the Association.  Upon concluding his/her term of office, each Vice President shall submit a written report to the President by July 1 covering all areas of responsibility in a form to be passed on to his/her successor in office.

Duties of the Vice President for School Activities.
The Vice President for School Activities shall be in charge of organizing and conducting the various school enrichment programs sponsored by the Association.

Duties of the Vice President for Hospitality.
The Vice President for Hospitality shall lead the Hospitality Committee.  This committee actively promotes, supports, and coordinates PA hospitality at in-school events such as the School Open House, PA Christmas Meeting, All School Picnic, teacher appreciation lunches, and any other event sponsored by the PA, exclusively of the annual major fundraiser.

Duties of the Co-Vice President for Fund Raising. 
There shall be co-Vice Presidents for Foundering.  One co-Vice President shall be in charge of organizing and conducting programs to raise revenues for the operation of the Association and it’s activities.  The Lottery Coordinator will report to this co-Vice President and be jointly appointed by the President and this co-Vice President.  The other co-Vice President for Fundraising shall serve as chairperson of the Long Range Planning Committee.

Duties of the Vice President for Marketing.
The Vice President for Marketing shall be in charge of the Marketing Committee.  This committee’s primary task is to develop and execute an annual marketing plan, with associated budget planning, for the OLQM School.  This plan must include detailed plans regarding school promotions and advertisements for the year.  Responsibilities include meeting regularly with school administration to align the marketing plan with present needs.  The VP of Marketing will report out at each monthly PA meeting regarding plan progress.

Duties of the Co-Vice Presidents of Long Range Planning
The Co-Vice Presidents of Long Range Planning shall be responsible for overseeing the responsibilities of the Long Range Planning Committee, which, in turn, is responsible for establishing the long range goals and plans of the Parent's Association; proposing means to fund those goals and plans; and implementing and monitoring the carrying out of the goals and plans.  One of the Co-Vice Presidents of Fundraising shall serve as one of the Chairpersons. The Long Range Planning Committee is comprised of five members.  Each member chairs one of the following subcommittees: science; computers/audio visual; library, art and music; faculty; and facilities.
